Responsibilities:
The Executive Assistant will have a high level of experience, confidentiality, and
professionalism
to support the Executive Vice President, Chief Financial Officer (CFO) with detailed administrative functions. The primary focus is to provide outstanding senior level support in a
fast-paced environment
, while representing the company and department in a professional manner. Daily tasks will be demanding and varied, requiring the ability to deal with ambiguity and changing and competing priorities efficiently.
Lead calendar management for CFO – schedule meetings, check schedules and monitor schedule conflicts independently
Prepare for meetings and events, dial into meetings, assist with agenda and material preparation and copy meeting materials
Manage Board of Directors (BOD) meetings including scheduling and logistics for the meetings, loading meeting materials, communications with BOD
Complete expense reports for CFO
Manage the flow of information to the CFO by screening calls, opening/sorting mail, sorting email to CFO directive folders, summarizing reports and memos before forwarding to appropriate individual, and preparing and formatting communications for internal and external distribution
Coordinate travel and accommodations for CFO – research and book hotels, flights, car rentals, and venues, coordinate and manage calendars surrounding meetings, calculate distance/time between locations, and create/update itinerary
Perform various administrative duties such as typing, copying, faxing, filing and email correspondence
Support CFO with confidential and high-level executive activities and special projects, including PowerPoint presentations and complex Word and Excel documents
Assist Investor Relations with registering for conferences and travel logistics, earnings calls, and scheduling calls with analysts and investors
Assist CFO direct reports with basic administrative tasks
Receptionist backup as needed
Exercise discretion and maintain strict confidentiality
Qualifications:
College degree preferred
A minimum 5 years’ experience in administration at the
executive level
Advanced knowledge of Microsoft Word and Outlook, PowerPoint and Excel required
