JOB GOAL:

To provide administrative assistance to the Principal of Metropolitan Technical Career Center to achieve the school program goals of compliance, efficiency, and excellence. Performs usual office routines and practices associated with a fast-paced yet productive and smoothly run office environment.

TERMS OF EMPLOYMENT:

Twelve (12) Month (245 days) contract – Schedule 804 – Range 107 – $30,892 – $53,674 plus benefits package. NOTE: Precise placement within the salary range will be determined based on experience. FLSA: Non-Exempt.

QUALIFICATIONS:

BA Degree required
Two (2) years of successful working experience in bookkeeping or an associate’s degree or higher in business/accounting.
Experience in computer operations, including working knowledge of Microsoft applications such as Word, Excel, PowerPoint, and Outlook, is required. Working knowledge of E-finance, E-school, Talent Ed, and Google, plus other accounting software, is also required.
Evidence of strong skills in meeting and dealing with district employees and the public in a manner that will promote a positive image of the school district.
Proficient in the use of a calculator
Ability to produce routine reports and correspondence as needed, including monthly financial reports.
Strong oral and written communication skills.
Strong organizational skills and prioritizing.
Must meet all set deadlines in a timely manner as set forth by the state, district, and director.
Must be able to pass the bookkeeper’s skills test.

ESSENTIAL DUTIES & RESPONSIBILITIES:

The following statements of duties and responsibilities describe the general nature and level of work being performed by individuals assigned to this position. Performs the usual office routines and practices associated with a busy, productive, and smoothly run office.
Receives incoming telephone calls, assists office visitors, and communicates general information concerning the program to the public.
Prepares all written reports, memos, and communications as the director requires.
Maintains accurate records of attendance for all staff.
Prepares weekly payroll reports on all staff.
Checks with teachers for needed supplies and records, forms, etc.
Maintains all bookkeeping records and inventories of school property.
Completes and submits required reports on dates due.
Maintains confidentiality of material and information.
Assists in the submittal of work orders to keep the building maintained.
Performs responsible clerical work and/or basic bookkeeping in the maintenance of complex and confidential records and files, both manually and by use of computers.
Responsible for classroom coverage, maintaining pool of substitute teachers and coordinating classroom assignments.
Prepares, maintains and processes records for attendance, overtime, period pay and other compensation related matters as assigned.
Distributes and maintains files on professional leave, personal leave, field trips, excused absences, serious incident reports, workman’s comp and grade changes.
Prepares work orders for building repair, maintenance, and keys.
Processes mail distribution for principal, organizes principal’s meetings, schedule interviews and assists in selecting support personnel.
Prepares accreditation reports.
Performs other duties as assigned.

Mental Functions, Physical Requirements, and Working Conditions:

While performing the duties of this job, the employee is regularly required to sit, stand, walk, go up and down stairs, operate foot and hand controls, use a telephone, and write. Occasionally, the employee must lift and/or move up to twenty (20) or more pounds. This position requires accurately perceiving sound, near and far vision, depth perception, handling and working with educational materials and/or objects, and providing oral information. Must be able to work for the duration of the daily contracted time period and be physically present and at assigned work, with only infrequent unexcused absences, during the contract year. Additional technical skills, knowledge, and abilities may be recommended by immediate supervisor and approved by the Human Resources Director.
