Job Summary
The Executive Assistant will provide effective and efficient administrative support to assigned leadership team member(s). Responsibilities will be broad and changeable in nature ranging from coordinating or leading special projects, arranging conferences and preparing presentations.

This role requires confidentiality and the ability to manage sensitive information, while maintaining integrity. A strong candidate will have the ability to proactively prioritize conflicting needs and handle matters quickly.

Additionally, this role requires flexible work hours to support demanding Executive-level schedule(s), projects, and fluctuating deadlines.

This is a hybrid role which requires the employee to work in the office every Tuesday and Wednesday.

Essential Functions
Support assigned staff member(s) in all related administrative tasks.
Prepare correspondence, presentations, meeting agendas, emails, and external communications.
Handle highly confidential and sensitive information.
Coordinate and manage calendars, meetings, and conferences, ensuring schedule is followed or changed to address priorities.
Prioritize conflicting needs, handle matters proactively, and follow through on projects in a timely manner.
Maintain files, prepare materials, and coordinate team meetings and events.
Coordinate all facets and details of travel, including passport/visa credentials, mode of travel, accommodations, and foreign currency, ensuring experience is seamless.
Process expense reports and support team/department purchasing activities.
Support team/department by assisting others with technology, tools, and/or systems used in daily work.
Support key projects and initiatives within assigned function.
Participate on project teams to help identify/create new processes, policies, and tools.

Experience
Administrative role supporting senior-level leaders in a corporate setting (5 years).
Communication and interaction with executives and/or board-level members.
Advanced experience using MS Office to produce reports, charts, presentations, and correspondence.
Experience handling confidential and sensitive information discreetly.

Education
High School diploma required
Bachelor’s degree in Business or related degree or equivalent professional experience
