Overview:
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant (EA) to provide administrative and operational support to three directors while collaborating with the broader EA team. This role requires strong communication, coordination, and adaptability to ensure seamless day-to-day operations.
Key Responsibilities:
Provide comprehensive administrative support to executives, optimizing their time and productivity.
Manage complex Outlook calendars, coordinating meetings, travel, and logistics.
Act as a liaison between executives, internal teams, and external stakeholders.
Prepare documents, presentations, reports, and meeting agendas as needed.
Assist with travel arrangements, expense reporting, and office management tasks.
Maintain and organize company records, confidential information, and executive communications.
Support cross-functional teams, ensuring effective collaboration and coordination.
Adapt to evolving priorities and anticipate the needs of the executives.
Key Skills & Qualifications:
3+ years of experience in an executive administrative role supporting multiple leaders.
Advanced Outlook calendar management expertise.
Proficiency in Windows desktop applications, Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite (Docs, Slides, Sheets), and Box.
Strong organizational, project management, and problem-solving skills.
Excellent verbal and written communication skills with a high level of professionalism.
Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
Proactive mindset with a strong sense of ownership and the ability to anticipate needs.
Strong interpersonal skills and a customer service-oriented approach.
Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Experience & Tools:
Familiarity with Slack, Zoom, Concur, and AI tools (e.g., Gemini) is a plus.
Experience supporting leaders in a tech-driven, fast-paced environment.
