Job Summary:
The Executive Assistant will provide strategic administrative support to the National Tax Managing Partner and leaders within the Industry Group and Practice Areas. This key role requires a highly organized, proactive professional capable of managing complex tasks, coordinating multiple projects, and facilitating communication to ensure smooth operational flow.
Key Responsibilities:
Collaborate closely with the Tax Managing Partner and Industry Group leaders to prepare for and schedule regular meetings, ensuring all logistics are handled efficiently. Quickly adjust calendars in response to changing priorities, optimizing schedules to enhance team productivity.
Assist in creating meeting agendas, compiling materials, and ensuring accurate meeting notes for follow-up.
Lead and manage cross-functional projects on behalf of the Executive Team, ensuring timely execution within budget.
Recommend operational improvements, particularly in meeting coordination, reporting processes, or administrative workflows, to enhance overall efficiency.
Conduct research, update spreadsheets, and create documents and visual presentations to support decision-making and communication.
Act as a liaison, facilitating clear communication between executives, internal teams, and external stakeholders to ensure smooth operations.
Required Skills & Abilities:
Experience managing projects from start to finish, meeting deadlines, and ensuring deliverables are achieved.
Strong problem-solving skills with the ability to adapt to shifting priorities in a fast-paced environment.
Excellent verbal and written communication skills.
Excellent organizational skills with attention to detail and the ability to prioritize and manage multiple tasks simultaneously.
Proven ability to meet deadlines, manage time effectively, and work in a dynamic, deadline-driven environment.
Proficiency in office tools and the ability to quickly learn new software.
Education & Experience:
A degree in Business Administration, Management, or a related field is preferred.
2-4 years of experience in an executive assistant or project management role, preferably with senior-level executives. Experience in the tax or professional services industry is a plus.
