To oversee the operations of reception desk and provide overall administrative support to the CEO and COO in terms of correspondence, management of schedules, meetings and appointments with clients or consultants and making travel arrangements
Responsibilities
Handle basic office administration and clerical work to assist the CEO / COO
Manage the calendars of the CEO and COO, requiring interaction with both internal and external executives and assistants to ensure smooth operations
Handle documentation of incoming and outgoing mail that requires CEO/COO response or approval
Handle petty cash fund, preparation of reimbursement statements and other finance related documentation to support ongoing daily operations
Handle travel arrangements for the CEO/COO in a planned and organised manner
Take necessary measures to ensure important corporate records are kept in a safe and secure manner
Coordinate with courier delivery to send outgoing documents
Provide secretarial support including calendar management for the Director, Finance and Director Aviation as and when required
Assist in the coordination of special events as required
Perform other tasks as delegated by the CEO/COO
Safety responsibilities and accountabilities of this position are detailed in the Safety Management Manual of the organization. The Job holder is required to maintain awareness and knowledge in relation to their safety responsibilities associated with their job function
Educational Qualification:
Bachelor’s degree in administration or equivalent
Experience:
5 years minimum experience in office administration and providing support to senior management
Extensive experience in timetable management for senior management positions
Special Technical Skills:
IT proficiency required
English language proficiency required
Additional software knowledge preferred
HR expertise and knowledge
