About The Role

This is an executive support role for a high-output President. You will be the first filter on everything that reaches him and the last check on everything that leaves.

How You Will Support Us

Inbox & Communications

  • Triage the President's inbox, flag priorities, and draft replies on his behalf
  • Manage his calendar, protect focus time, and schedule and confirm meetings

Strategic Support

  • Capture the President's ideas and direction and organize them into clear action plans
  • Break projects into steps with owners, deadlines, and next steps
  • Track progress and keep priorities moving

Office Admin Support

  • General office administration support, including coordinating supplies, managing vendors and assisting with day to day operational needs

Records & Systems

  • Organize and maintain data in FileMaker (training provided)
  • Keep digital files and contact lists up to date
  • Maintain shared folders in Google Drive with consistent structure

Docs & Research

  • Draft summaries, SOPs, vendor research, and meeting notes
  • Download and organize construction plan sets and assist with file preparation

AI Tools

  • Use AI daily to draft, summarize, and streamline repetitive tasks
  • Turn meeting notes into structured projects and task lists
  • Document processes and suggest improvements

Experience

What You Need

  • 3 or more years supporting a business owner or executive in an operations-heavy role
  • Proven experience managing payroll and timecards
  • Proven experience managing workflows for multiple people and projects
  • Construction, architecture, or trades-adjacent admin is a plus

Skills

  • Full English proficiency, written and spoken, C1 or above
  • Steady under pressure, does not create noise
  • Short with written and verbal updates, gets to the point
  • Exercises judgment on what reaches the President and what does not
  • Follows through: if it is assigned, it gets done
  • Anticipates what is needed before being asked
  • Learns the standard once and applies it consistently
  • Works within established systems without trying to redesign them
  • Writes in the President's voice, not their own
  • Brings solutions or a clear question, never just a problem
  • Thorough and detail-oriented, numbers and names must be right
