Position Overview
We are seeking an organized, proactive, and detail-oriented professional with construction industry experience to join our team in a remote administrative role. This position plays a vital role in supporting daily operations, coordinating communication, managing project updates, and streamlining administrative functions. The ideal candidate is familiar with construction workflows and proficient in Buildertrend software.
Key Responsibilities
Manage scheduling for construction projects, staff, and subcontractors
Handle incoming calls and correspondence professionally
Create and send invoices; assist with billing and account reconciliation
Support project managers with scope changes, updates, and document control
Assist with proposal creation, submission, and follow-up communication
Manage material orders and coordinate deliveries with suppliers
Maintain contact databases and CRM systems
Coordinate basic marketing tasks, including email campaigns and social media updates
Help ensure deadlines and deliverables are met through organized follow-up and communication
Qualifications
2+ years of administrative experience in the construction industry (required)
Proficiency with Buildertrend (required)
Strong organizational and time-management skills
Excellent verbal and written communication abilities
Tech-savvy with experience using project management and CRM tools
Ability to work independently and handle multiple priorities
Comfortable working in a fast-paced, deadline-driven environment
