About Us: We are a small but dynamic e-commerce team with a passion for innovation and efficiency. Our team consists of four full-time members, each excelling in their respective areas: marketing, supply chain, offline retail, and online distribution. As the visionary and integrator, our founder is seeking an Executive Assistant (EA) to streamline operations, handle critical tasks, and support the business’s continued growth.
Position Summary: We are looking for a highly organized, proactive, and resourceful Executive Assistant to manage time-consuming tasks, enhance efficiency, and provide executive-level support. You will work closely with the founder and team to handle operational responsibilities, allowing the visionary to focus on strategic growth and innovation.
Key Responsibilities:
1. Financial Coordination:
Communicate with lenders, accountants, and bookkeepers to manage financial tasks.
Assist with invoice tracking, expense management, and financial reporting.
Prepare documentation for audits, loans, and financial planning.
2. Supplier and Manufacturer Sourcing:
Research and vet new suppliers and manufacturers for product development.
Manage ongoing communications and negotiations with existing and prospective suppliers.
Track supplier performance and ensure adherence to quality and delivery standards.
3. HR Management:
Post job openings, screen candidates, and schedule interviews.
Assist with onboarding new hires and maintaining employee records.
Support employee lifestyle management, including coordinating team-building activities and handling ad hoc HR requests.
4. Communication and Email Management:
Manage the founder’s inbox, prioritize messages, and draft responses.
Ensure timely follow-ups on key communications.
Act as a liaison between the founder and internal/external stakeholders.
5. Administrative Support:
Manage the founder’s calendar, schedule meetings, and ensure efficient time management.
Prepare reports, presentations, and summaries for meetings.
Handle special projects and ad hoc tasks as assigned.
6. Team and Project Coordination:
Monitor the progress of ongoing projects and ensure deadlines are met.
Coordinate with team members (e.g., marketing, supply chain, offline retail) to streamline workflows.
Provide updates to the founder on team activities and project status.
Making recommendations to Core Processes to improve efficiency and accuracy
Qualifications:
Proven experience as an Executive Assistant or similar role, preferably in an e-commerce or startup environment.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in productivity tools (e.g., Google Workspace, Microsoft Office, project management software).
Basic understanding of financial and HR processes.
Ability to work independently and proactively solve problems.
Preferred Skills:
Experience with supplier negotiations or procurement.
Familiarity with e-commerce platforms and tools.
HR management or recruitment experience.
Have EOS (Entrepreneurial Operating System) experience
