Position Overview:
Gregor Industries Inc. is seeking an organized, adaptable, and detail-oriented Executive Assistant to
join our team
. The Executive Assistant will be responsible for managing a wide range of tasks, from administrative duties to on-site documentation, and
client relationship
management. The ideal candidate will have excellent organizational and
communication skills
, be able to handle multiple tasks simultaneously, and maintain a professional demeanor in all interactions.
What You’ll Do:
Attend meetings and take clear, concise minutes, ensuring key points and action items are captured.
Visit job sites to assist with documentation, take high-quality photos for reports, and engage in client interactions.
Deliver client gifts and maintain positive relationships with clients, ensuring satisfaction and open communication.
Assist with managing the executive’s emails and communications, responding in a timely and appropriate manner.
Provide support with research, hotel and travel reservations, and other necessary arrangements.
Use PowerPoint to create visually appealing and informative presentations.
Handle social media accounts, including updates and engagement.
Handle various tasks and projects as they arise, ensuring timely completion.
Contribute ideas to improve processes and help create more efficient operational procedures.
Manage the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
Plan and coordinate events, conferences, seminars, and other team gatherings.
Maintain accurate records, including filing systems and contact databases.
Be resourceful and handle any issues or crises that arise quickly and efficiently.
Build strong interpersonal relationships with clients and team members, ensuring a smooth workflow.
What You’ll Need:
Proficient in PowerPoint, Microsoft Office Suite, and general computer skills.
Strong organizational skills with a keen attention to detail.
Excellent written communication abilities, especially for concise note-taking and document preparation.
Willingness to travel to job sites, including occasional trips to Manhattan and New Jersey.
Friendly and professional demeanor when interacting with clients and colleagues.
Experience managing emails and social media accounts is a plus.
Ability to think creatively and contribute innovative ideas for process improvements.
Strong memory and the ability to juggle multiple tasks simultaneously.
Comfortable with last-minute changes and able to adapt to unexpected challenges.
A valid driver’s license and reliable transportation are required.
