Tivol is seeking a thoughtful, tech-savvy, and highly organized Executive Assistant to support the CEO of their well-established fine jewelry company. This is a newly created position and the CEO’s first assistant hire. The ideal candidate will bring 5–10 years of relevant experience, strong administrative capabilities, and the confidence to help shape how the role evolves. This is a full-time, in-person role based in Tivol’s flagship store.
This position is ideal for someone who enjoys working behind the scenes, keeping operations running smoothly, and contributing to a values-driven organization that cares deeply about quality, people, and relationships. It’s a role for someone who brings calm to complexity — offering insight, structure, and steadfast support to a dynamic, relationship-based business.
Key Responsibilities:
Provide day-to-day administrative support to the CEO, including calendar management, meeting preparation, and inbox organization
Track priorities and follow up on outstanding items to ensure nothing falls through the cracks
Answer and direct calls and messages; respond to inquiries and requests on the CEO’s behalf when appropriate
Serve as a sounding board and second set of eyes on communications, documents, and details
Create structure where there isn’t any, and help organize both digital and physical systems
Coordinate with internal staff and act as a respectful point of contact on the CEO’s behalf
Prepare internal documents, communications, and presentations with polish and precision
Organize and maintain electronic files and records; manage inbox and calendar with precision
Jump in to assist the team when appropriate, and occasionally support with light personal scheduling or errands
Handle sensitive information with complete discretion
Occasionally assist with light personal tasks or errands
Qualifications:
Minimum of 4 years of leadership/executive-level administrative support experience
Tech-savvy, with strong proficiency in Microsoft Office (especially Outlook, Word, and Excel), and comfortable navigating Google Workspace and other modern productivity tools
Excellent written and verbal communication skills, with the ability to interact professionally and discreetly across all levels
Highly organized with a strong memory, attention to detail, and natural follow-up instincts
Clear communicator who is confident, composed, and professional
Diplomatic and confident in managing complex working relationships
Interested in a long-term partnership — someone who sees this as a career move, not just a job
