The Role

We are looking for a high-energy Executive Assistant to support our Corporate Vice President in a dynamic, fast-paced environment based in Santa Clara, CA. The role requires partnering with executive assistants and interacting with multiple management levels, customers, and employees to manage day-to-day priorities. Flexibility and a proactive mindset are key to success.

The Person

The ideal candidate will have significant experience navigating a complex C-Suite environment and be comfortable interacting with employees of all levels. To be successful, you will need strong organizational and multi-tasking skills, and the ability to gather information and make decisions independently. Being proactive and anticipating the needs of the executive is essential as you prioritize time, schedules, inquiries and information.

Key Responsibilities

Manage and prioritize the executive calendar including onsite/offsite meeting coordination

Manage executive domestic and international travel

Prepare and process expense reports

Serve as a primary contact for the management team, handling inquiries and resolving issues by redirecting them to appropriate staff

Handle mail and inquiries, determining the necessity of executive action

Collect and analyze information to prepare reports, agendas, and correspondence

Oversee inventory management of departmental supplies and coordinate maintenance requests

Support financial processes, including managing budgets, contracts, purchase orders, and vendor relations

Build relationships with external partners and coordinate scheduling efforts across teams and geographies

Take detailed notes during meetings and track action items

Assist with recruitment processes, including scheduling candidate interviews and gathering feedback

Preferred Experience

Exceptional communication and organizational skills

Proficient in Microsoft Office Suite and Teams

Ability to handle complex tasks independently while being a team player

Strong interpersonal skills with the ability to build relationships across all organizational levels

Academic Credentials

Bachelor’s degree preferred
