Aesthetx is an elite plastic surgery and medical aesthetics business located in the Bay Area. We have three high end locations and six well-known plastic surgeons who serve our discerning patients. We are looking for an Executive Assistant who can support the CEOs and Medical Director as well as manage operations in the back office. We are hands-on entrepreneurs who love what we do, hold ourselves to high standards, move with velocity, and appreciate that everything starts with people. As we scale our practice to multiple locations throughout the Bay Area, we will look to you to take a lead on office operations, scheduling, travel, and project management for the rest of the staff.
The ideal candidate is extremely detail oriented with a love for organization, task lists, and a sense of urgency. You possess a growth mindset and are comfortable operating in a fast-moving, high-growth environment. You have managed many time-sensitive tasks at once and are a complex problem solver. Most importantly, you’re eager to roll up your sleeves make sure that the tasks that need to be done are executed flawlessly.
This role reports directly to our General Manager, will be in person 5 days a week, and will work from our headquarters in Campbell/Los Gatos, CA.
In This Role, You Will:
Provide meeting preparation and support for the CEOs to run effective meetings
Coordinate logistics and materials with the Leadership Team for board meetings, including agendas, presentations, general flow, deliverables, due dates, and notes to guarantee each meeting’s success
Serve as a culture champion who embodies company values, fostering an environment of enthusiasm and collaboration while inspiring teammates through your positive energy and can-do mindset
Assist with various administrative and operational tasks and projects for the office
Serve as the primary point-of-contact for all vendors, industry relationships, and external doctors
Keeping the breakroom snacks and back office stocked for the team
Required Qualifications:
2+ years experience as an Executive Assistant with experience working with multiple executives
Previous experience working at a fast-paced, high-growth startup or equivalent is preferred
Previous experience with vendor management
Polished and professional communication style
Ability to anticipate needs, forward thinker, and comfortable with ambiguity
Ability to intuitively shift gears quickly as priorities change
Problem solving mentality with an ability to negotiate / corral different contractors and vendors
Strong organizational skills with great attention to detail and a love for task lists and organizing projects and spaces
Proactive approach to managing a variety of tasks and responsibilities
Strong interpersonal skills and EQ
Work with sensitive/confidential information; must be discreet, reserved in handling all business and personal matters
Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks
Willingness to drive to the Menlo Park office when needed
Experience with Notion or willingness to learn
Preferred Qualifications:
Bachelor’s Degree in Business Administration, Human Resources, or relevant area
Experience with Office 365 applications, Zoom, and Slack Â
Experience with Notion and ADP WorkforceNOW
