We are seeking a highly organized and dynamic Administrative Services Manager to oversee the operational efficiency of clinical locations across the state, with the role expanding as we continue to grow and add more clinics throughout Colorado.. This role is a leadership in administrative team coordination, ensuring smooth day-to-day operations. The ideal candidate will be responsible for supervising all administrative assistants, creating schedules, managing facility needs, and providing on-site support as needed.

Key Responsibilities:
Facilities & Site Management:

Oversee the, cleanliness, and functionality of all clinic locations.

Serve as the primary contact for facility-related issues, coordinating repairs and improvements with the Operations Manager.

Ensure compliance with safety regulations and company policies across all sites.

Administrative Leadership:

Supervise and support all administrative assistants across multiple locations.

Develop and manage schedules to ensure adequate front-desk coverage at all clinics.

Provide training, performance feedback, and ongoing professional development for administrative staff.

Standardize administrative workflows to improve efficiency and consistency across sites.

Assist with onboarding new administrative staff and ensuring adherence to company policies.

Floating & On-Site Support:

Travel between clinic locations as needed to provide hands-on support and oversight.

Step in as a backup for administrative assistants when necessary.

Conduct regular site visits to assess needs and implement improvements.

Qualifications:

Experience: Minimum 3-5 years in facilities management, operations, or administrative leadership.

Skills: Strong organizational, problem-solving, and multitasking abilities.

Technology: Proficiency in scheduling software, Google Workspace

Leadership: Proven ability to supervise and mentor administrative staff.

Travel: Must be willing and able to travel between clinic locations statewide.

Preferred Qualifications:

Strong conflict resolution and team-building skills.

Experience in a healthcare or multi-site clinic environment.

Familiarity with compliance regulations related to healthcare facilities.
