Job Summary

We are seeking a highly organized, tech-savvy Executive Assistant to provide comprehensive support to our executive team. The ideal candidate is proactive, detail-oriented, and possesses strong problem-solving skills. This role requires the ability to manage complex schedules, coordinate meetings, and handle confidential information. Additionally, the Executive Assistant will play a critical role in preparing subscription documents, ensuring accuracy and compliance with industry standards.

Key Responsibilities

Calendar & Email Management: Coordinate executive schedules, book meetings, and manage high-volume email correspondence.

Document Preparation: Prepare, review, and manage subscription documents for private investments, ensuring accuracy, completeness, and compliance with regulatory requirements.

Communication & Coordination: Act as a liaison between executives and internal/external stakeholders.

Document & Data Management: Organize and maintain digital files, prepare reports, and handle confidential information securely.

Travel & Expense Management: Arrange travel itineraries, process expenses, and track reimbursements.

Tech & Process Optimization: Use and recommend tools to improve workflow efficiency.

Required Skills & Qualifications

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

Experience in preparing legal or financial documents (e.g., subscription documents, agreements, or compliance-related materials).

Familiarity with investment-related terminology and processes is a strong plus.

Strong technical proficiency in:

Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Cloud-based document management (e.g., DocuSign, Dropbox, OneDrive)

Ability to quickly learn and adapt to new technology.

Familiarity with CRM software is a plus.

Excellent communication skills (verbal & written) and ability to draft professional correspondence.

Strong organizational and multitasking abilities, with great attention to detail.

Discretion and confidentiality when handling sensitive information.
