A dynamic and fast-paced organization is seeking an experienced and highly discreet Executive Assistant to provide high-level administrative support to the President of a well-established organization. This individual will play a critical role in ensuring seamless operations and supporting strategic initiatives through expert coordination, communication, and organizational skills.
Responsibilities
Provide a wide range of confidential and strategic administrative support to a senior executive.
Manage complex and dynamic calendars, including scheduling meetings, appointments, and prioritizing time-sensitive matters.
Coordinate internal and external meetings, ensuring all logistics are handled efficiently.
Organize domestic and international travel arrangements, including itineraries, accommodations, and transportation.
Prepare, process, and track invoices and expense reports in compliance with company guidelines.
Support the preparation and formatting of reports, presentations, and spreadsheets; print and bind materials for meetings when needed.
Plan and execute internal and external events, including catering, transportation, and venue coordination.
Draft professional and high-quality correspondence on behalf of the executive.
Screen incoming communications, assess priority, and manage responses with discretion.
Proactively anticipate needs and manage recurring responsibilities independently.
Provide occasional coverage and support for other administrative professionals as needed.
Support general office tasks, such as managing supplies, ordering catering, and assisting with team events or morale initiatives.
Qualifications
Bachelor’s degree preferred; 5+ years of executive support or office management experience, or equivalent combination of education and experience
Proficient in calendar management and coordinating complex meetings
Highly responsive and professional email communication skills
Strong proficiency in Microsoft Office Suite and Apple products
Excellent written, verbal, and editing skills with keen attention to detail
Exceptional organizational, multitasking, and time management abilities
Proactive, resourceful, and able to make sound decisions independently
Maintains composure and efficiency in fast-paced, high-pressure environments
Demonstrated discretion with sensitive and confidential information
Experience overseeing administrative operations and support functions
Salary range is $110,000 to $150,000/year.
Compensation is based on experience and qualifications. This role is not eligible for remote work.
