Executive Administrative Assistant
Summary:
This dynamic role as Executive Administrative Assistant will provide high-level administrative support in a fast-paced environment to the Managing Director of Vital Materials. They will also oversee the general administrative functions and activities of the Fremont CA.
Responsibilities:
· Provide administrative support and daily scheduling assistance to the Managing Director
· Coordinate scheduling for onsite and virtual senior leadership team meetings
· Assist Managing Director with daily operations in a fast-paced environment
· Perform clerical and administrative tasks, including errands
· Organize domestic and international travel, booking accommodations, and flights for Managing Director
· Coordinate offsite meetings and events as necessary
· Coordinate reports, presentations, and planning for various sales, business, and management meetings
· Maintain inventory of office supplies; order new supplies as needed
· Perform or facilitate maintenance of office equipment including cleaning, maintenance, and repairs
· Manage office subscriptions for trade magazines and newspaper deliveries
Required Skills/Abilities:
· Excellent verbal and written communication skills
· Excellent organizational skills and attention to detail
· Excellent time management skills with a proven ability to meet deadlines
· Ability to function and remain flexible in a dynamic, fast-paced, and at times, stressful, environment
· Ability to work independently, proactively taking on multiple responsibilities
· Follow through on assignments to completion
· Extensive knowledge of office administration
· Extremely proficient with Microsoft Office Suite, including Excel and PowerPoint
· Extensive knowledge of office management procedures
Education and Experience:
Bachelor’s degree preferred or associate’s degree with equivalent experience.
Minimum three years’ experience working for a top tier company in a similar role is required.
Fluency in Mandarin Chinese (read/write/speak) is essential.
