Job summary
We’re looking for a sharp, reliable and warm Executive Assistant to the CEO and leadership team. This is a part-time role. You’ll be trusted with confidential information, represent the CEO and leadership team internally and externally, and keep things running smoothly behind the scenes. From managing complex calendars and booking global travel for our Amsterdam office employees. This role requires someone with good judgement, grace under pressure, and a deep sense of discretion.
What You’ll Do
Act as a confidential and trusted assistant to the CEO.
Manage a dynamic calendar, prioritising time based on evolving business needs.
Coordinate global travel, accommodation, and itineraries — securing smart deals, establishing relationships with hotels to negotiate corporate rates, and ensuring employee and manager travel is cost-effective and efficient.
Be able to push back when employees (or leaders) demands are unreasonable or out of scope with our ways of working.
Work closely with country leaders and local teams to ensure visits from HQ are seamless.
Be a professional, warm and responsive link between the CEO and senior stakeholders.
Ensure the CEO has the information they need prior to meetings and keep priorities aligned.
Handle a wide range of tasks and small projects that keep the leadership team running at full speed.
Anticipate needs and solve problems before they arise — you’ll often be two steps ahead.
Represent the leadership team in a way that reinforces our culture of openness, humanity, curiosity, and driven.
Manage expenses efficiently and accurately.
What You’ll Bring
A university degree or equivalent experience as a senior-level PA or EA.
Proven ability to manage confidential information with integrity and discretion.
Exceptional organisational skills — juggling tasks, managing priorities, and keeping things moving.
Excellent judgement and emotional intelligence — you understand people and situations.
A warm and open personality, while still being composed, discreet and highly professional.
Strong communication skills and the ability to build trusted relationships across cultures and functions.
Comfort working in fast-paced, sometimes ambiguous environments.
Experience booking international travel and coordinating with senior stakeholders across time zones.
A sense of urgency and a calm, solution-oriented mindset.
Fluent in English (additional languages are a plus).
