GXC is excited to announce an opening for an Administrative Coordinator of Financial Operations. In this role, you will report directly to the CFO and play a key part in driving the success of GXC Inc’s financial operations. As a critical member of our team, you’ll support the CFO through precise administrative management and contribute to the overall financial excellence of our organization. The ideal candidate is highly motivated, detail-oriented, and adaptable, thriving in a hybrid work environment that blends in-office and remote settings.

Essential Functions:

Provide comprehensive administrative support to the CFO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Act as a liaison between the CFO and internal/external stakeholders, ensuring clear communication and timely follow-ups.
Prepare and organize financial reports, presentations, and other documentation for meetings and reviews.
Assist with daily office operations to ensure smooth and efficient workflows.
Manage and track expense allocations, ensuring proper documentation and adherence to company policies.
Assist in budgeting, forecasting, and other financial planning activities.
Handle confidential information with the utmost discretion and professionalism.
Manage and organize financial documents and files within SharePoint
Ensure compliance with regulatory requirements, including maintaining business licenses and financial documentation.
Assist with administrative tasks such as correspondence and document preparation.
Support other team members with ad-hoc financial or administrative tasks as needed.

Physical and Mental Functions:

Maintain focus and independence in a remote working environment
Prolonged periods sitting at a desk and working on a computer.
Fine motor dexterity, ability to work from an electronic device at all times
Ability to learn new tasks and remember processes
Make decisions and apply established workflows in a timely manner

Qualifications:

Required:

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Proven experience in financial administration, bookkeeping, or a similar role.
Proficiency in accounting software (e.g., NetSuite) and Microsoft Office Suite (Excel, Word, Outlook).
Strong attention to detail and organizational skills.
Excellent written and verbal communication abilities and interpersonal skills.
Ability to handle sensitive information with confidentiality and integrity.
Ability to manage multiple priorities and meet deadlines.

Preferred:

Certification in accounting or finance (e.g., CPA, CMA) is a plus.
Experience with financial compliance and reporting standards.
Previous experience as an executive assistant, particularly in a financial or corporate environment.
