Job Summary:

We are seeking a highly organized and professional Executive Assistant/Admin to provide comprehensive support to our executive team. This role requires a dynamic individual capable of interfacing seamlessly with customers, board members, and investors. As the Executive Assistant/Admin, you will play a crucial role in maintaining efficient operations and ensuring smooth communication between internal and external stakeholders.

Responsibilities:

Act as the primary point of contact for executives, managing their schedules, appointments, and travel arrangements.

Coordinate meetings, conferences, and events, including logistics, agenda preparation, and follow-up actions.

Prepare and distribute correspondence, reports, presentations, and other documents as needed.

Manage communication channels with customers, board members, and investors, ensuring timely responses and effective resolution of inquiries.

Maintain confidentiality and discretion in handling sensitive information and documents.

Conduct research and gather information as requested to support executive decision-making processes.

Assist with special projects and initiatives as assigned by the executive team.

Liaise with other departments to facilitate cross-functional collaboration and coordination.

Handle administrative tasks such as filing, expense tracking, and office supply management.

Provide administrative support during board meetings, including minute-taking and distribution.

Requirements:

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

Exceptional communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.

Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Discretion and confidentiality in handling sensitive information.

Ability to work independently with minimal supervision and as part of a team.

Flexibility to adapt to changing priorities and schedules.

Bachelor’s degree or equivalent experience preferred.
