The Role

We are seeking dynamic and collaborative Executive Assistant (EA) and Branch Coordinator for the Chief Security Officer and Global Corporate Operations Branch who has experience providing executive support and coordinating a geographically located team. This role requires strong communication and organisational skills and the proven ability to proactively manage competing priorities, while maintain discretion.

To be successful in this role you will be required to undertake work that meets the needs of the Chief Security Officer (CSO) and work under minimal supervision. You will exercise initiative and judgement in the application of policies and procedures.

An Austrade-only merit pool will be created from this recruitment round to fill similar vacancies that may arise during the subsequent 18 months from date of advertising.

Duties Include

  • Providing executive and administrative support to the CSO, including managing schedules and correspondence, prioritising matters requiring attention, and coordinating meetings, agendas, papers and briefings to support effective decision making.
  • Supporting branch financial coordination and budgeting processes, including tracking expenditure, monitoring commitments against budget, coordinating inputs, identifying variances, and liaising with the Finance team to support accurate, timely and policy-compliant financial reporting and forecasting for the CSO and Directors.
  • Coordinating travel and logistical arrangements, including bookings, approvals and itineraries, and providing reliable remote support as required.
  • Providing basic procurement and administrative support to Branch team members, including coordinating low value procurements, checking documentation and approvals, and reinforcing compliance with corporate procurement and financial policies.
  • Supporting effective office operations and stakeholder engagement, including front of office support, quality assurance of administrative approvals, maintaining confidentiality, and liaising professionally with internal and external stakeholders in accordance with corporate policies and procedures.

Eligibility
