JOB PURPOSE

We are seeking a detail-oriented and highly organized EXECUTIVE ASSISTANT AND EVENT PLANNER to manage both office tasks and event planning for our ophthalmology medical device company.

DUTIES INCLUDE:

Managing calendars, scheduling meetings, handling correspondence, preparing reports and managing travel arrangements for the CEO.

Serving as a point of contact for stakeholders, taking documentation of meetings, fielding calls and managing emails.

Tracking projects, providing updates and ensuring deadlines are met.

Planning and arranging special events, trade shows, wet labs, trainings, meetings and associated business travel.

Organizing sponsorship participation for company hosted events. Serving as liaison with vendors on event related matters.

Taking ownership of the company’s promotional inventory, including replenishing inventory and shipping promotional items to trade shows and internal events.

Proposing new ideas to improve the event planning and implementation process.

Assisting with other marketing program execution such as collateral development, direct mail campaigns and digital marketing.

Managing and tracking event budgets.

EXPERIENCE AND SKILLS:

College degree in Business Administration, Management, or a related field with 5+ years of related work experience.

Excellent communication, organization, customer service and project management skills.

Ability to multi-task.

Experience with Marketing / Web communications, graphic design, usability and/or social media is a plus.

Demonstrate cost awareness.

Proficient with the latest versions of Microsoft Outlook, Word, Excel and PowerPoint.

Experience with CRM system software preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

OCULUS provides a smoke and vape-free environment on company premises for its employees, customers, and visitors.

While performing the duties of this job, the employee performs a desk job for several hours at a time and is regularly required to talk and listen to customers or colleagues.

Ability to lift up to 50 lbs.

Safely operate a motor vehicle and maintain a valid motor vehicle license.
