Summary:
The Office Administrator is an essential part of the NALA team, responsible for supporting members, supporting staff, and ensuring the seamless execution of daily administrative operations. This role includes customer service, order fulfillment, inventory control, data entry, general office duties, and staff support. The Office Administrator also contributes to event and webinar coordination.
Principle Duties:
Customer Service & Member Support
Answer and route incoming calls to appropriate staff.
Process, fulfill, and ship customer orders in a timely and accurate manner.
Respond to inquiries and ensure member needs are addressed promptly.
Inventory & Order Fulfillment
Manage store and promotional item (swag) inventory.
Communicate with external partners to fulfill material requests.
Prepare and ship materials for trade shows, school visits, affiliated association visits, and other outreach opportunities.
Database & Mail Management
Enter and update member and client data in the association management software (AMS) and other internal databases.
Create and run reports as needed.
Sort and process incoming and process outgoing mail.
Administrative & Office Support
Maintain office supply inventory and place supply orders.
Ensure the office is organized and well-equipped.
Provide administrative support to the CEO, Director of Operations, Membership Manager, Director of Projects, and other management members as needed.
All other duties as assigned. 
Additional Duties:
Webinar & Event Support
Participate in professional development training and training opportunities.
Serve as back-up for Membership Service Representatives.
Assist with live webinar delivery, including starting/ending sessions and moderating Q&A.
Working Relationships and Scope:
Reports directly to the Membership Manager. Works closely with other Membership Services Representatives. Does not supervise others.

Knowledge, Skills and Abilities:
High school diploma or GED required, Associate’s degree preferred. Must be able to efficiently and effectively use technology to enhance the brand image of the association; exercise good business judgment in making decisions with the long-term best interest of the business in mind; deal effectively and cordially with a wide variety of people and situations, both pleasant and unpleasant; communicate effectively verbally and in writing; deal effectively with time pressures, stress, and rapid change. Must be professional in appearance and demeanor. 
Proficiency in Microsoft Excel, Word, and Outlook is required (additional training can be provided)
Experience with CMS/AMS systems or other databases preferred (training provided)
Minimum one year of customer service and/or administrative support experience, including written communication.
Working Conditions:
Work is performed mainly in an office environment and remote access with minimal exposure to injury. Work hours are normally Monday through Friday and will usually average 37.5 hours a week.  Some (rare) unscheduled evening and weekend work will be required due to events or special projects. This is primarily an on-site position in Tulsa, OK, with some flexing opportunities based on department needs.
