Organization Overview: Winnie Stowell Hospital District is dedicated to meeting the healthcare needs of our community, focusing on assisting low-income residents. We also hold licenses for 72 nursing homes.
Job Summary: The Administrative Office Assistant provides essential administrative support, ensuring all interactions within the organization are professional, positive, and productive. This role involves a variety of tasks to support the smooth operation of the district, requiring proactive and responsible multitasking.
Key Responsibilities:
Answer phones, take messages, greet, and assist visitors.
Perform general office duties: copying, filing, shredding, scanning, and processing mail and faxes.
Process daily remote deposits and download monthly bank statements.
Compose and manage day-to-day communications via email and other correspondence.
Enter data into databases and Excel spreadsheets, including QuickBooks and internal software.
Keep the office organized and running efficiently; monitor office supply inventory.
Assist with scheduling, coordinating, and maintaining calendars for Board members and client appointments.
Proofread reports and documents for accuracy, grammar, and spelling.
Provide support and preparation for Board Meetings.
Manage schedules, organize files, and handle correspondence.
Use Adobe Acrobat PDF and Microsoft Office Suite, with a focus on Excel, for data management and reporting.
Maintain accurate financial records and manage invoices using QuickBooks.
Coordinate and schedule meetings, ensuring flexibility to accommodate varying schedules.
Handle multiple tasks efficiently while maintaining organization.
Support day-to-day operations and assist with special projects.
Provide ongoing support to the Administrator and assist the Indigent Care Director as needed.
Qualifications:
High school diploma or equivalent required; minimum of two years’ experience or an Associate degree in a related field preferred.
Strong background in data entry, QuickBooks, Excel, Adobe Acrobat, and Dropbox is preferred.
Excellent organizational skills with strong attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Bilingual skills are a plus.
Flexible schedule to accommodate meetings and deadlines.

Ability to work independently with minimal supervision.
Physical Requirements:
Ability to lift 35-40 lbs.
