Executive Assistant – Credit

We are seeking a highly organized and proactive Executive Assistant (Leveraged Credit) to join a leading investment management firm in Boston, MA. This role will primarily support =Portfolio Managers, with additional ad hoc support for additional team members. The Executive Assistant will be responsible for managing complex calendars, coordinating domestic and international travel, organizing high-level meetings, and preparing detailed client materials. Additionally, this role will involve handling administrative tasks, expense reporting, and assisting with special projects and events.

This is a 7-month contract position with a strong potential for conversion, offering a pay rate of $27–33/hr (based on experience) for a 40-hour work week. The position follows a hybrid work model, requiring 4 days per week onsite in Boston.

Responsibilities:

Manage complex calendars, scheduling, and prioritizing meetings proactively.

Coordinate domestic and international travel, including itinerary planning and logistical arrangements.

Organize and oversee meeting logistics, ensuring seamless coordination with internal and external stakeholders.

Prepare and produce high-quality materials, including client reports, presentations, and meeting preparation packets.

Handle administrative tasks such as mail management, maintaining file systems, and processing expense reports.

Assist with special projects, including event planning and coordinating high-profile visitors.

Build and maintain strong, collaborative relationships across internal teams and external partners.

Perform additional tasks as needed to support team and business objectives.

Qualifications

:

2+ years of administrative experience in a professional services environment (investment management experience preferred).

Exposure to global business contexts is a plus.

Advanced proficiency in Microsoft Office Suite with a strong ability and willingness to learn new technologies.

Exceptional attention to detail, diligence, and commitment to high-quality work.

Strong organizational, multitasking, and prioritization skills.

Proactive problem-solving abilities with an anticipatory and solution-oriented mindset.

High level of professionalism, reliability, and discretion in handling sensitive information.
