Job Description
Position Title: Executive Admin Assistant
Department: Operations
Division: Nine (Central Office)
Report to: Director Of Operations
FLSA Status: Exempt
Location: Oklahoma City
The Oklahoma Department of Transportation is seeking to fill an Executive Assistant to the Director of Operations position. The individual selected will perform administrative, professional, and highly technical duties as well as manage special projects assigned. This person must be very organized and possess exceptional interpersonal skills to optimize productivity, efficiency and service quality across various environments.
Primary Duties include:
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for the Director of Operations and Staff.
Types and designs general correspondences and agency memos. Proofreads for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Performs desktop publishing. Creates and develops visual presentations for the Director of Operations.
Creates and maintains spreadsheets for the Director of Operations and Staff.
Prepares reports by collecting and analyzing various types of information.
Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
Answers phones for the Director of Operations. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with the Executive Assistants to cover phones.
Acts as a liaison with other divisions and outside agencies, including high-level staff such as Agency Commissioners and Consultants. Handles confidential and non-routine information and explains policies when applicable.
This position requires expert level knowledge of Microsoft Office software, as will maintain and create highly technical spreadsheets and other documents. The ability to multi-task is essential as they will work closely with divisions under the Director of Operations’ purview to ensure projects are on schedule, within budget, and meeting defined objectives.
Education and Experience:
Minimum five (5) years serving in an executive technical assistant position and expertise with the Microsoft Office Suite of software applications.
Preferred Knowledge, Skills, and Abilities:
Two (2) years of working in a professional executive office, information technology environment and/or a bachelor’s degree in business related fields or information technology.
