We are looking for an Executive Assistant to support two (2) Senior Vice Presidents who can demonstrate strong interpersonal skills with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining professionalism and confidentiality. While the role will include handling expense reports, travel planning, and endless calendar jockeying, this job is very much about relationships. The relationship you form with the executive you support is absolutely critical, because that’s what enables you to become a true partner. In addition to understanding your executive’s business needs, you will also need to understand the leadership and workings of Disney Publishing and of related departments across the Disney enterprise.

What You Will Do

Perform administrative duties including, but not limited to running complex global calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications

Prepare expense reports and ensure they are submitted in a timely manner

Prepare for meetings including setup for large presentations/video conferences with multiple sites

Manage the planning, coordination, and execution of domestic and international business travel, including trip logistics and itinerary, meeting coordination, and remote support when executive is out of the office, taking into account time zones, weather delays, traffic and fatigue levels

Interface directly with other senior executives, their support teams and external organizations – your ability to work well with people on all levels is a critical aspect of the role

Review your leader’s schedule to build-in time for things like thinking and traveling to their next meeting

Understand the day’s priorities so you can be strategic about scheduling

Handle extremely confidential, sensitive information

Draft letters and emails on behalf of your leader

Take accurate meeting notes and distribute timely to pertinent team members

Provide general office and event support for DPW’s NY-based site including liaising with building facilities regarding on-site logistics, coordinating meeting rooms and event space, managing event catering, ordering supplies, and processing purchase orders and approvals

Provide light administrative support to SVP’s executive team members, as needed

Coordinate department off-sites and events as needed

Assist with any special projects and other related duties as needed

Required Qualifications & Skills

At least 5 years supporting a Vice President and/or equivalent top level executive experience

Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary

Desire to immerse yourself fully and learn all aspects of your executive’s business

Ability to multi-task and prioritize deadlines/deliverables

Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, and working in a Windows and Apple environment
