Position:

Rockefeller Capital Management is seeking a highly organized, proactive, and detail orientated Executive Assistant to provide high-level administrative support to the firm’s Chief Marketing Officer and Head of Strategic Partnerships & Community Impact. This role requires exceptional multitasking abilities, discretion, and the ability to work in a fast-paced environment while managing a broad range of responsibilities.
Responsibilities:
Manage complex calendars, scheduling meetings, appointments, and travel arrangements
Coordinate and prioritize daily tasks, ensuring executives are well-prepared for meetings and events
Prepare for various meetings, including conference room reservations, catering arrangements, meeting agendas and material prep
Process expenses, invoices, and other documentation
Act as a liaison between executives and internal / external stakeholders
Create, maintain and archive documents in an organized filing system
Assist in planning and executing events including logistics, venues, etc., as needed
Manage special projects, as assigned
Qualifications:
5 + years of executive assistant experience, preferably within financial services
High School diploma required, bachelor’s degree a plus
Experience in a complex and fast-paced office is required
Skills:
Proficiency in Microsoft Office Suite
Strong organizational and project management skills with the ability to multitask
Excellent verbal and written communication skills
Ability to anticipate needs and proactively solve problems
Experience handling confidential and sensitive information
High level of professionalism and ability to build strong relationships
Available to work overtime as needed
Compensation Range:

The anticipated base salary range for this role is $80,000 to $95,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. In addition, this role may be eligible for a discretionary bonus.
