About the Company: A busy family based on the U.S. East Coast is seeking a highly organized, proactive, and experienced Executive / Family Assistant to help manage both professional and household operations. This role is ideal for someone who thrives in fast-paced environments, can independently solve problems, and enjoys bringing structure and calm to busy schedules.
About the Role: You will serve as a trusted right hand to the family, helping coordinate calendars, household staff, children’s schedules, family logistics, and day-to-day administrative operations. The ideal candidate is detail-oriented, resourceful, discreet, and able to “hit the ground running” with minimal oversight.
Responsabilities:
- Manage personal and family calendars across multiple schedules
- Coordinate household operations and communicate with nannies, house staff, and vendors
- Organize children’s activities, appointments, transportation, and scheduling logistics
- Assist with invoicing, bill payments, and light administrative/financial coordination
- Handle appointment scheduling, reminders, and follow-ups
- Coordinate travel arrangements and family logistics as needed
- Help prioritize tasks and ensure smooth day-to-day operations
- Maintain confidentiality and professionalism across all communications
- Anticipate needs proactively and create systems to improve organization and efficiency
Requirements:
- 4+ years of experience as an Executive Assistant, Personal Assistant, Chief of Staff, or Family Assistant
- Strong calendar management and organizational skills
- Experience supporting busy executives, high-net-worth individuals, or families preferred
- Comfortable coordinating household staff and managing multiple moving parts simultaneously
- Excellent written and verbal English communication skills
- Highly proactive with strong problem-solving abilities
- Able to work independently and take ownership of responsibilities
- Strong attention to detail and follow-through
- Experience with invoicing, expense tracking, or light finance/admin support is a plus
- Tech-savvy and comfortable using Google Workspace, calendars, spreadsheets, and communication tools
