About the Company:  ​​​​​​A busy family based on the U.S. East Coast is seeking a highly organized, proactive, and experienced Executive / Family Assistant to help manage both professional and household operations. This role is ideal for someone who thrives in fast-paced environments, can independently solve problems, and enjoys bringing structure and calm to busy schedules.

About the Role: You will serve as a trusted right hand to the family, helping coordinate calendars, household staff, children’s schedules, family logistics, and day-to-day administrative operations. The ideal candidate is detail-oriented, resourceful, discreet, and able to “hit the ground running” with minimal oversight.

Responsabilities:

  • Manage personal and family calendars across multiple schedules
  • Coordinate household operations and communicate with nannies, house staff, and vendors
  • Organize children’s activities, appointments, transportation, and scheduling logistics
  • Assist with invoicing, bill payments, and light administrative/financial coordination
  • Handle appointment scheduling, reminders, and follow-ups
  • Coordinate travel arrangements and family logistics as needed
  • Help prioritize tasks and ensure smooth day-to-day operations
  • Maintain confidentiality and professionalism across all communications
  • Anticipate needs proactively and create systems to improve organization and efficiency

Requirements:

  • 4+ years of experience as an Executive Assistant, Personal Assistant, Chief of Staff, or Family Assistant
  • Strong calendar management and organizational skills
  • Experience supporting busy executives, high-net-worth individuals, or families preferred
  • Comfortable coordinating household staff and managing multiple moving parts simultaneously
  • Excellent written and verbal English communication skills
  • Highly proactive with strong problem-solving abilities
  • Able to work independently and take ownership of responsibilities
  • Strong attention to detail and follow-through
  • Experience with invoicing, expense tracking, or light finance/admin support is a plus
  • Tech-savvy and comfortable using Google Workspace, calendars, spreadsheets, and communication tools
