Solidly established Boutique Hedge Fund is looking for an experienced Executive Assistant to support the Chief Investment Officer/Chief Executive Officer (CIO/CEO) and the Chief of Staff (CoS). This individual must have unquestionable integrity and be an effective collaborator with the ability to exercise good judgment in complex situations. Attention to detail and problem-solving skills, as well as excellent written and verbal communication skills, are essential. A successful candidate will be a self-starter who is able to balance execution speed and accuracy, work well under pressure and have the confidence to make informed decisions independently.
The company’s official policy is Four (4) Days in Office and One (1) Day Remote; however, you must be Flexible for Five (5) Days in Office. Hours are Typically from 7:45am-5:30pm. The office is in Midtown Manhattan in the 50’s.
QUALIFICATIONS AND SKILLS
Bachelor’s Degree required.
Minimum of Five (5) years of Total Experience.
Proficiency in Microsoft Office.
RESPONSIBILITIES AND DUTIES
Report to and partner with the CoS to optimize the CIO/CEO on all matters, business and personal.
In coordination with the CoS, manage CIO/CEO’s inbox daily: flag emails that require attention, track all required follow up actions, ensure responses are made in a timely manner, and file emails appropriately.
In coordination with the CoS, manage busy business and personal calendars with a high degree of organization, attention to detail, and a sense of urgency.
Arrange market-related components of calendar, print relevant market and internal research, understand, or develop an understanding of how market conditions can affect calendar planning
Prepare a weekend binder with upcoming meeting materials and documents for the week ahead.
Manage business and personal travel logistics including flights (both private and commercial), transportation, and accommodations in addition to researching and creating travel itineraries.
Arrange all aspects of meetings including materials preparation and/or organization, conference room coordination, and technology needs.
Track and manage expenses and submit monthly Concur reports on behalf of the CoS and CIO/CEO.
Collaborate effectively and form strong partnerships with the administrative team.
Thoughtfully engage with internal and external stakeholders to facilitate exceptional interactions.
Responsive outside of working hours as needed.
