Overview:

We are seeking a highly organized and self-motivated administrative professional to support one of our major clients. The ideal candidate will have experience providing executive-level administrative assistance and will be comfortable handling a range of tasks independently. The role requires strong communication skills, problem-solving abilities, and a proactive approach to supporting the executive team’s needs while maintaining professionalism and discretion.

Location: NYC

Type: Full time, direct hire

Schedule: On-site Mon – Fri.

Pay: $100,000 – $120,000 based on experience

Executive Assistant Duties:

Provide comprehensive administrative support to the EVP, including managing agendas, making travel arrangements, and ordering catering.

Handle general administrative tasks such as answering phone calls, managing office supplies, writing letters, taking notes, organizing mass mailings, and processing expense reports.

Maintain databases and organize records, ensuring accuracy and efficiency.

Prepare meeting presentations tailored to the target audience’s needs.

Assist with the planning and coordination of company-wide initiatives and events.

Facilitate projects across various teams when needed, including commercial training sessions, IT implementations, and other company-wide programs.

Ensure the successful administration of employee benefit plans and invoicing/expense processes.

Demonstrate flexibility in balancing independent projects with responsive support to urgent requests.

Provide solution-oriented thinking, predict problems, and offer proactive solutions when appropriate.

Represent the company professionally, both internally and externally, maintaining discretion and confidentiality as required.

Executive Assistant Requirements:

College degree required.

3+ years of relevant experience in an EA role.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).

Basic understanding of current technology tools and applications.

Strong written and verbal communication skills.

Excellent time management, multitasking, and organizational abilities.

Ability to work independently and prioritize tasks effectively while maintaining a high level of attention to detail.

Demonstrated ability to work in a fast-paced environment and remain flexible in response to shifting priorities.

Professional demeanor with the ability to exercise discretion and represent the company with confidence.
