As we grow, we’re looking for a dedicated and detail-oriented Business Support and Admin Assistant to join our team and provide essential support across administrative, operational, and marketing areas.

About the Role

This role is essential for ensuring the smooth operation of daily administrative tasks and providing exceptional customer service. It is ideal for someone who is proactive, detail-oriented, organized, and thrives in a fast-paced, creative environment. You’ll assist the owner directly with day-to-day administrative tasks, help support studio and event operations, and contribute to our brand’s digital presence.

Key Responsibilities

Client Communication & Front-Facing Support

Respond to client inquiries via email and phone promptly and professionally
Follow up with leads, maintain clear communication throughout the booking process
Manage appointment scheduling and coordinate client consultations
Serve as a point of contact for basic client needs and vendor coordination

Administrative Support

Maintain and organize digital files, contracts, and event documentation
Track invoices, proposals, and payment follow-ups
Prepare meeting notes, checklists, and internal timelines
Assist the owner with calendar management and day-to-day workflow

Operations Support

Coordinate event logistics including scheduling deliveries, pickups, and setups
Maintain studio organization and supply inventory
Communicate with vendors and ensure timely execution of internal tasks
Support event prep by managing checklists, staff assignments, and load-out plans

Marketing Support

Assist with social media scheduling and content planning
Organize and prep event photos/videos for marketing purposes
Draft captions, stories, or email newsletter content
Use Canva or similar tools to create branded marketing materials
Track social media engagement and recommend ways to improve performance

Qualifications

2+ years of experience in administrative, client services, marketing, or operations support
Strong verbal and written communication skills
Highly organized and detail-oriented with excellent time management
Proficient in Google Workspace (Docs, Sheets, Drive)
Familiar with social platforms (especially Instagram), Canva, and email tools
Able to work independently, take initiative, and follow through on tasks
Professional, polished, and able to interact confidently with clients and vendors
Weekend availability is required on occasion for event days

Job Type: Full-time

Pay: $19.00 – $22.00 per hour

Schedule:

Day shift
Weekends as needed
