The Opportunity
Reporting to the Senior Managing Director (SMD), the Executive Assistant (EA) is responsible for providing comprehensive support to the executive and senior investment professionals. This includes managing internal and external inquiries, supporting strategic initiatives, handling operational tasks, and ensuring the smooth functioning of the office.

The EA should have a basic understanding of the organization and external partnerships to operate effectively and proactively. This role suits a detail-oriented, tech-savvy professional who thrives in a fast-paced, collaborative environment.

Operating with minimal supervision, the EA must demonstrate independence, initiative, sound judgment, professionalism, and discretion. The role also involves representing the SMD and department in dealings with stakeholders.

Who You’ll Work With
You will be part of the Equities department within the Investments division, focusing on global public and private equity opportunities. You will work closely with the Senior Executive Assistant, collaborate with four other EAs, and engage with internal and external partners, including senior leaders and business teams.

What You’ll Do

Manage complex calendars for the Senior MD and department leads, coordinating meetings across time zones.

Build and maintain relationships within the division and with external partners.

Collaborate with other EAs to support departmental planning and logistics.

Prepare executive materials, including presentations and briefing notes.

Prioritize communications and support decision-making.

Identify process improvements and leverage tools like MS Teams, One Drive, and SharePoint.

Support executive meetings and coordinate logistics.

Manage meeting materials and follow-up actions.

Handle expense management and travel arrangements.

Support event planning and other administrative needs.

What You’ll Need

Minimum 5 years of administrative support experience, preferably supporting senior executives.

Extensive calendar management skills.

Proficiency in MS Office and a willingness to adapt to new technologies.

Strong communication, discretion, and confidentiality.

Excellent organizational and multitasking skills.

Ability to work independently and collaboratively.

Diplomacy, tact, and a customer service mindset.

Flexibility to support outside regular hours occasionally.
