Summary
We are seeking a friendly, organized, and proactive Office Coordinator/ Administrative Assistant to join our team. This role is the first point of contact for visitors, vendors, and employees and plays a key role in ensuring smooth day-to-day office operations. The candidate will provide front desk reception, office support, and assist all departments with administrative tasks.

Responsibilities
Greet and assist visitors, clients and vendors at the front desk in a professional manner.
Manage front desk activities, including but not limited to answering calls, emails, and deliveries.
Taking payments from customers.
Maintain accurate client database using in-house software.
Create and maintain filling systems, both electronic and physical.
Inputs and updates information in databases and spreadsheets.
Handle billing and payment processing.
Provides clients with generated COI and uploading in Vendor Portals.
Assist with customer inquiries and provide information about our services.
Perform general administrative tasks such as scanning, filing, and data entry.
Coordinates rooms for meetings, including but not limited to catering, set-up, organizing and clean up.
Assist departments with administrative support as needed.
Maintain a tidy, welcoming reception and office area.
Monitor and order office supplies as needed.
Requirements
High school diploma or equivalent required.
Minimum of 3 years’ experience with recent experience in a similar administrative role preferred.
Strong computer literacy with proficiency in Microsoft 365 and Microsoft Suite (Outlook, Word, Excel, PowerPoint).
Strong communication and interpersonal skills.
Ability to prioritize, multitask, and stay organized in a fast-paced environment
Outstanding customer support skills and a friendly demeanor.
Spanish speaking a plus but not required.
Job Type: Full-time
Pay: $25.00 – $28.00 per hour
Expected hours: 40 per week
