Your day to day:We are actively seeking applications from highly experienced and pro-active Executive Assistants that are looking to further their career within a fast-paced HR team in the global hospitality sector. You will thrive in an environment where you provide comprehensive and proactive secretarial and administrative support to our SVPs and VPs.
Key accountabilities will include:
Proactively own and manage diary schedules, ensuring external and internal meetings are effectively organised, and re-prioritised on a daily/weekly/monthly basis
Act as first point of contact for key internal/external stakeholders, ensuring the correct access is given to the SVP/VP at the right time
Monitor internal/external e-mail/other communications, to ensure time sensitive priority actions are addressed
Plan complex global travel, including visa management, accommodation, transfers and be available to problem solve in the event of unexpected changes
Work with other functional managers as required to assist in any administrative support– including processing invoices, organising internal and external meetings, Townhalls and communication events.
Liaise with corporate business partners & their respective PA network in HR and key global stakeholders according to the business needs
Management of new starter and leavers process with respective line manager, and moves according to needs/growth/reduction, in-department support for all HR related and day-to-day matters such as onboarding and setting up corporate credit card
To undertake special duties or work outside the normal daily/weekly routine but within the overall scope of the position at the request of the SVP/VP, this includes providing holiday cover.
What we need from you:
Previous EA/PA experience at a senior level is essential
Excellent written and verbal communication and influencing skills
Ability to build high trust relationships with key stakeholders
Strong judgement and ability to assess what issues need to be actioned vs paused till more clarity is available.
Able to plan prioritise and organise proactively
Demonstrate discretion and diplomacy and be able extract key points and apply judgement before acting
Able to work unsupervised, use initiative and be self-motivated and confident
Level-headed: Able to maintain composure even in high-stress situations
Excellent time management skills that allow for the multi-tasking of all responsibilities
Maintain absolute confidentiality regarding employees, company information and human resource issues
Experience of complex travel arrangements, visa management
Advanced user of Microsoft Word, PowerPoint, Excel and Outlook, Ariba & Oracle
