We are looking for an Executive Assistant to join our Corporate Human Resources team. You would be part of the team that offers strategic advice and consultation to leaders across Direct-to-Consumer and Corporate, ensuring that they have a successful team to achieve the business outcomes they need. This role is essential to the success of the Company and joins a multifaceted, fast-paced team that works with some of the most creative, dedicated people in the business.

The Executive Assistant will work alongside the HR team to maintain organizational flow with leaders in Disney’s Corporate segment and provide Human Resource advice to the company. While there will be the typical expense reports, travel planning, phone messages and calendaring, this job is very much about people, forming strong relationships, and understanding how to help your executive flourish. As the representative of your executive within The Walt Disney Company, your professionalism, integrity, and demeanor reflect the office, and as such, are a critical component to its success.

This position reports to the Vice President of Human Resources for Disney’s Direct-to-Consumer and Corporate Learning & Talent Solutions, with additional support for the Director of Learning and Talent and the Director of Human Resources.

What You Will Do

Schedule and arrange virtual and on-site meetings

Review your leader’s schedule to build in time for preparation and travel

Pivot quickly to reschedule a carefully planned day when pressing conflicts arise

Read relevant newspapers and trade journals so you understand the mission of the office

Draft professional correspondence on behalf of your leaders

Plan and create travel itineraries, taking into account time zones, weather delays, traffic and fatigue levels

Purchase all office supplies for the department, and manage invoices, purchase orders, and vendor contracts

Prepare regular reports and summaries

Onboard new employees – you will be the friendly guide that team members rely on to answer questions

Mentor and train other support professionals in hard skills like computer programs, and soft skills like teamwork

Plan high-profile, complex events like offsites as well as smaller-scale gatherings such as service recognition parties

Required Qualifications & Skills

At least three years supporting a Director or above, or equivalent experience

Sharp written and verbal communication skills, including clean grammar and a robust vocabulary

Complete reliability handling confidential information

Ability to prioritize tasks in a fast-paced environment

Strong proficiency with all types of computers, phones and office equipment

Mastery of Microsoft Office programs including Outlook, Word, PowerPoint and Excel; strong skills in SAP, Sharepoint, Concur, Slack, and Zoom, and the resourcefulness to learn new applications as needed

Genuine desire to be helpful to your leaders and co-workers, to go above and beyond without being asked, to build solid inter and intra-team relationships
