ESSENTIAL TASKS
The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.
Plans, coordinates and supervises the daily administrative and clerical support activities for the Public Works Department.
Supervises subordinate clerical staff; supervisory duties include instructing, planning and assigning work, maintaining standards, coordinating activities, allocating personnel, assisting with the selection of new personnel, acting on employee problems, recommending and implementing employee discipline, and recommending employee discharge as appropriate.
Reviews the work of subordinates for completeness and accuracy; evaluates performance and makes recommendations for improvement as appropriate; offers training, advice and assistance as needed.
Assists in ensuring department compliance with all applicable policies, procedures, laws, regulations and standards of quality and safety.
Evaluates office operations and makes recommendations for changes in order to maintain office productivity and efficiency.
Develops and administers the Administration Division’s annual budget.
Provides administrative and clerical assistance to division heads; assists with special programs and projects as requested.
Serves as liaison between department employees and the County’s Human Resources Department; advises and assists the department Director in all personnel matters.
Establishes and maintains all department personnel files; prepares all personnel action forms; coordinates the performance appraisal process for the department.
Counsels and assists employees regarding benefits, work schedules, and employment policies and procedures; gathers information needed to respond to formal employee complaints.
Coordinates the department’s safety and training program.
Receives and responds to inquiries, requests for assistance and concerns from other County departments, municipal departments, other agencies, civic/community organizations, and the public; assists the Director in coordinating administrative functions activities with those of other departments and agencies as appropriate.
Performs routine clerical work, including but not limited to preparing, typing, transmitting, copying and filing documents; sending and receiving faxes; entering and retrieving computer data; assembling materials; ordering supplies; processing daily mail; maintaining logs and lists; answering the telephone, etc.
Attends training, meetings, seminars, etc., as required to enhance job knowledge and skills.
VOCATIONAL/EDUCATIONAL PREPARATION:
Requires Bachelor’s degree or education and training equivalent to four years of college education in business, administration or a closely related field.
SPECIAL CERTIFICATIONS AND LICENSES:
Must possess a valid state driver’s license.
EXPERIENCE REQUIREMENTS:
Requires over four years and up to and including eight years
