Office Coordinator, Madison Avenue Presbyterian Church

The Office Coordinator provides administrative support to all ministries of the church and creates effective church-wide print and online communications. This is an in-person on-site position that works under the supervision of the Senior Pastor and Head of Staff.

Responsibilities include:

Serving as the first point of contact for those seeking to speak to any pastor or staff member and having the ability to direct needs and issues to the appropriate staff person. This person will communicate on behalf of pastors regarding baptisms, weddings, and memorial service inquiries, and handle related paperwork and forms, and provide administrative support for the pastoral staff.

Updating the church records system to reflect the involvement of members, life events (birth, death, baptism, wedding, relocation, etc.), and all personal information received.

Working alongside the Senior Pastor and Director of Music, the Office Coordinator will help prepare, format, and print the Sunday Bulletin, including announcements, and arrange and communicate with greeters, communion servers, live streaming team, and security for each Sunday and all services and necessary events.

Coordinating the church calendar and responding to enquiries about use of church space in consultation with ministry staff and coordinating set-up needs. For outside groups using the building, this entails working alongside the Director of Finance to ensure prepared contracts and other requirements are sent and collected. There will be ongoing communication with groups using the building to ensure respectful use of church space, troubleshoot, and maintain relationships. This person will also communicate with the chef and building staff regarding room set ups and reception arrangements.

Provide support for special projects and events including congregational and music program mailings and communications.

Working alongside the Senior Pastor and staff, collect information from Session Committees, Trustees, and Deacons and staff members to assemble packets and distribute in a timely manner, and provide administrative support for all ministry programs.

Create and design informative and visually pleasing emails, promotional materials, such as posters, and invitations, for church events, and provide administrative support for church events.

Required Skills:

The Office Coordinator must be friendly, detail orientated, flexible, self-motivated and able to work collaboratively.

Strong organizational and time management skills and excellent interpersonal and communication skills are required so that this person positively represents the church to all members, visitors, and the community.

This person must demonstrate a genuine desire to anticipate and meet the needs of others, and be highly communicative and willing to work alongside others, and be able to communicate with the pastoral staff while maintaining confidentiality with sensitive information.

The Office Coordinator must have strong computers skills and comfort adapting to new technology to efficiently navigate our church software system (Shelby*) for calendar and data entry, and to produce effective, informative, and visually pleasing church communications, such as a weekly email, Sunday bulletin, social media, and church-wide mailings using Microsoft Word, Excel, and other programs.

This is an on-site position and the Office Coordinator must be able to commute to the church and work from the office. Coordinator must also be able to lift and move boxes of paper and supplies in and out of storage areas.

*Training on Shelby, the church calendar and record keeping software utilized by the church, will be provided, but the candidate must be very proficient in Microsoft Office (including Excel), SharePoint, Adobe, Constant Contact (or similar), Paperless Post, and comfortable utilizing and adapting with technology.

Salary is $50,000 – $70,000 plus benefits
