Description of Work
Function as an office manager for the Division Director’s office; serves as information liaison, for the Director’s Office and agency, assisting a large volume of internal and external customers regarding concerns, conflicts, inquiries and requests in a variety of mediums; responsible in following policies and procedures; creates, proofreads and prepares documents (agendas, minutes, letters, presentations, reports and other materials of an important or confidential nature) for a variety of sources to include DHHS executive staff, divisions/offices, legislators, community partners/associations, other departments, etc.; plans and schedules meetings and appointments for multiple staff; multi-tasks in taking phone calls, answering correspondence, greeting guests or attending meetings; manages calendar for Division Director

Expertise in Microsoft Office with a strong emphasis on Outlook, Word, Excel and PowerPoint
Proven ability to prepare executive-level correspondence, reports, forms, meeting minutes, etc., using prescribed formats and conforming to all rules of punctuation, grammar, diction and style
Must be able to determine priorities of meeting requests and make changes quickly, accurately, and often on very short notice; work within tight deadlines, manage complex projects, multiple priorities, and handle stressful situations with confidence decision making and judgment
Proven ability to manage the day-to-day operations of an office
