As an Office Manager in the Office of Communicable Disease Epidemiology (OCDE), you will be at the center of operations, ensuring that administrative processes run smoothly. Your role is crucial in supporting statewide surveillance and response efforts for public health emergencies and communicable disease control.
As the Office Manager, you will:
Lead and coordinate administrative and operational services for OCDE.
Develop and refine office policies, processes, and procedures.
Oversee office needs, including purchasing supplies, tracking equipment, and managing records.
Ensure smooth processing of payroll, travel reimbursements, and procurement requests.
Organize and support meetings, records management, and budget monitoring.
Handle special projects that improve efficiency and streamline operations.
Provide crucial support during public health emergencies.

Location and Flexibility
This position offers flexibility to work remotely while spending 1-2 days per week onsite. However, during public health emergencies or outbreaks, you may be required to work full-time in the office to support critical response efforts.
Required Qualifications
You must meet ONE of the options provided and any additional criteria listed. Experience may have been gained through paid or unpaid activities. Please ensure any relevant experience defined below is outlined in your cover letter, resume, and/or applicant profile.
Option 1: Three (3) years of office/clerical, secretarial, bookkeeping, accounting, or general administrative experience that includes tracking assignments and managing schedules.
Option 2: Associate degree; AND two (2) years of office/clerical, secretarial, bookkeeping, accounting, or general administrative experience that includes tracking assignments and managing schedules.
Option 3: A bachelor’s degree in business administration, public administration, or closely allied field; AND one (1) year of office/clerical, secretarial, bookkeeping, accounting, or general administrative experience that includes tracking assignments and managing schedules.
AND
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Demonstrated ability to plan, organize, and manage office resources effectively.
Experience leading administrative services and ensuring timely completion of critical tasks (e.g., travel arrangements, payroll, data sharing agreements).
Preferred Qualifications
One (1) year of experience coordinating special projects and ensuring timely delivery of outcomes.
One (1) year of experience as a team lead or supervisor.
Experience with modern methods of performing various kinds of clerical work and of measuring work production.
Highly skilled in office organization, inventory control, and records management.
Knowledge of budget monitoring and financial procedures, including expense reimbursement systems.
Familiarity with organizing travel and maintaining compliance with agency policies.
Two (2) years answering phone calls from the public or other partners and stakeholders
Two (2) years working in public health.
Two (2) years of experience supporting teams with a communicable disease background.

Conditions of Employment:
This position is covered by a bargaining unit for which the Washington Federation of State Employees (WFSE).

Commit to a full-time 40-hour workweek schedule (flexible work schedule requests must be approved by the supervisor and, if approved, reviewed periodically).

Adjust my work schedule occasionally to align with business needs, which may entail working evenings and weekends.
Perform my job duties either remotely from home or in person, on a drop-in basis, at the designated DOH site location.
Occasional travel may be necessary.
Legally drive a vehicle or arrange alternative transportation for state business.
Engage in emergency response exercises and high-priority assignments as assigned during emergency events.
