This position supports two senior leaders within the retail wealth enablement and advisory business areas of a client in the insurance industry. The role focuses on proactive, high-level administrative support in a fast-paced, dynamic environment with multiple internal and external stakeholders. It requires exceptional judgment, discretion, and organizational agility to anticipate and respond to evolving priorities.

Responsibilities:
• Manage all aspects of calendar scheduling, ensuring meetings are prioritized effectively with internal and external stakeholders.
• Anticipate and address the needs of senior leaders in a high-demand environment.
• Monitor, prioritize, and respond to email communications on behalf of the leaders when appropriate.
• Coordinate and support in-person and virtual team events, including social and learning engagements.
• Prepare meeting materials, including agendas, presentations, and reports.
• Assist with the development and distribution of internal communications and reporting.
• Track administrative budgets and process expense reimbursements and cheque requests.
• Provide administrative support to other leaders as required.
• Execute additional administrative tasks to ensure smooth day-to-day operations.
What you will need to succeed:
• College diploma in office technology, administration, or equivalent education.
• 2+ years of experience supporting senior leaders in an executive assistant role.
• Industry experience in financial services.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite, with working knowledge of Excel and PowerPoint.
• Strong ability to prioritize tasks and manage competing deadlines.
• Excellent organizational skills with high attention to detail.
• Self-starter with a proactive, solution-oriented mindset.
• Team-oriented with a strong sense of initiative and follow-through.
