Position: Executive Assistant (junior level)
Highly regarded business association in Washington DC is looking to add an executive administrator to their team. Members are the CEO’s of the world’s largest corporations across all major industries. The organization seeks to foster greater understanding of the major opportunities and challenges facing business now and in the future.
In the role of executive administrator, you will directly support the CEO, and work with the Director of Meetings and Administration, and the Director of Membership. The role encompasses a broad range of responsibilities, and you are an integral part of the team. Travel 3 – 4 times annually for exclusive, upscale meetings.
You should have a BA and 2+ years of related administrative experience, enjoy working with a small staff, have been in roles where you have interacted with executives and leadership, and want to learn from highly talented individuals.
Salary 65 – 85K DOE, hybrid work week (1 day from home and 4 days in office). Comprehensive benefits include fully paid health insurance for individual and dependents, 401K, cell phone, transportation allowance, and a friendly, professional team. Opportunity to grow professionally.
RESPONSIBILITIES:
Executive Administrative Support:
Provide administrative support to the CEO, effectively and proactively anticipating needs while maintaining confidentiality
Manage scheduling, coordinate appointments and meetings to ensure efficient use of time
Manage travel itineraries (flights, accommodations, ground transportation, and other logistics)
Prepare expense reports and reimbursements
Liaise with membership and senior executives and external vendors
Handle sensitive and confidential documents
Additional responsibilities as needed
Meeting Planning:
Conduct substantive research on topics and speakers
Create guest speaker invitation letters
Reserve guest speaker travel
Coordinate and schedule guest panel prep calls
Using Cvent, gather and input information including speaker photo and bio, agenda sessions, and location. Maintain up-to-date information. Assist Director of Meetings and Administration with launch and trouble shoot any issues
Attendee communications, including registration/RSVPs, attendee dietary restrictions and special needs, and messaging on the registration platform
Membership:
Create new member letters, new member information form and annual dues invoice
Update and maintain member corporate boards/alma mater spreadsheet
Communications:
Liaison between the organization and designer/printer to ensure website has the latest updates including membership information, membership changes and any other needs
Assist with bi-weekly newsletter, reading all proposed articles and providing feedback
REQUIREMENTS:
Bachelor’s degree
2+ years of executive administrative support
Strong proficiency in MS Office, digitally savvy, database experience
Proven ability to manage multiple projects and deadlines simultaneously
Poised, positive, and highly professional with a friendly demeanor
Proven ability to interact with high level executives with discretion, professionalism and responsiveness
Exceptional organizational skills and attention to detail
Collaborative team player
Strong communication skills, verbal and written
Able to travel 3 – 4 times annually
Proactive, willing and eager to take on new responsibilities
