Our client, an international trust company located in midtown is currently looking to fill a Executive Assistant opening, who will be supporting the CEO.
This role require 5 days in office.
This role will provide high-level administrative support to the executive, ensuring efficient operation and organization within the executive’s office. This role requires exceptional organizational skills, a proactive approach, and the ability to handle sensitive information with the utmost confidentiality.
Key Responsibilities:
Calendar Management:Coordinate and manage the executive’s schedule, including meetings, appointments, and travel arrangements.
Communication:Act as the point of contact between the executive and internal/external stakeholders. Manage and prioritize emails, phone calls, and other communications.
Meeting Coordination:Prepare agendas, take minutes, and follow up on action items for meetings. Arrange logistics for meetings, conferences, and other events.
Documentation:Draft, edit, and proofread correspondence, reports, presentations, and other documents as required.
Project Management:Assist with special projects, ensuring they are completed on time and within scope.
Travel Coordination:Arrange complex travel itineraries, accommodations, and logistics. Prepare travel expense reports.
Administrative Support:Maintain filing systems, order office supplies, handle invoicing and expense tracking, and perform general office duties.
Confidentiality:Handle sensitive information with discretion and ensure confidentiality at all times.
Qualifications:
Education:Bachelor’s degree preferred, but not required.
Experience:Minimum of 3 years of experience as an executive assistant or in a similar role.
Organizational Skills:Exceptional ability to manage multiple tasks and priorities effectively.
Communication Skills:Excellent verbal and written communication skills.
Technical Skills:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
Interpersonal Skills:Strong interpersonal skills, with the ability to interact professionally with all levels of the organization.
Problem-Solving:Ability to anticipate needs, think critically, and offer solutions to complex problems.
Time Management:Superior time management skills with the ability to work under pressure and meet deadlines.

This role pays between $100-120,000 Base.
