The Co-Administrative Assistants at St. Paul’s Episcopal Church play a vital role in the operation of our parish office that supports church clergy, staff, our board (vestry), and ministry leaders. During parish office business hours, the Co-Administrative Assistants are the forward-facing staff that receive calls and greet visitors while performing the other functions of the job. We value having someone in this role that engages with people positively with a caring and patient demeanor as it can set the overall tone of the office environment. Our Co-Administrative Assistants provide support to overall church operations through a variety of essential responsibilities such as: office reception, clerical support, publication production, facility scheduling, membership and attendance record-keeping, and pastoral support.
Co-Administrative Assistant Job Details:
The role of Co-Administrative Assistant is a job shared between two individuals: one who works Monday/Tuesdays and another person who works Wednesday/Thursdays. The parish office is open Monday – Thursday, 8:30 a.m. – 4:30 p.m. This position is for Wednesday/Thursday shifts specifically.
Hours: 16 hours per week
o part-time working on Wednesday and Thursday 8:30am – 4:30pm
o flexibility to cover the occasional Monday and Tuesday if the other Co-Administrative Assistant has scheduled time off
· Hourly Rate: $15 an hour
· Benefits: 6 paid sick days per year, paid holidays when an observed holiday that the office is closed falls on a Wednesday or Thursday (i.e., depending on the year this could be July 4, Thanksgiving, Christmas holidays or New Year’s holidays)
· Reports to: Parish Administrative Officer
· Location: 116 N. Academy St, Murfreesboro, TN 37130, position not remote
Duties and Responsibilities
Receptionist –
o Answer telephones, direct messages, greet and screen visitors to the office, assist those in need of church building access, and field calls looking for information on benevolent assistance.
Clerical Support
o Assist clergy, staff, board members, and ministry leaders with items such as word processing, copying, filing, collating, mailings, distribution of printed materials and other tasks as requested.
o Support the Rector by assisting with scheduling meetings and answering emails on her behalf.
o Manage facility key inventory and distribution, as well as assist Parish Administrative Officer with access control system.
o Manage the copier and paper supplies.
o Organize office supplies.
Publication Production
o Format and print weekly and special edition (holidays, funeral, weddings) bulletins.
o Prepare content in the weekly eNewsletter for the Communications Director.
o Oversee all print and mail production
– Print weekly and special edition bulletins and bulk mailings (i.e. quarterly theme magazine, newsletters and stewardship letters).
– Manage postage, supplies and volunteers to assist with folding, labeling, distribution and mailing.
o Print any additional handouts/inserts as needed by the clergy, staff, board, or ministry leaders.
Church & Facility Calendar
o Oversee the process of scheduling facility and setup requests.
o Manage the facility use calendar to ensure there are no scheduling conflicts and that all details are communicated to appropriate staff.
o List all church-sanctioned services and events on the church website calendar.
Membership & Attendance Records
Process and record transfer requests.
Prepare Baptism, Confirmation and Wedding forms and certificates.
Maintain and update all membership books and electronic records.
Utilize membership software, Realm, to update member information, run reports, or print labels. As well as, record attendance numbers for services, daily offices, and private communions.
Pastoral Support
o Assist Clergy in scheduling pastoral care visits and communication.
o Prepare the weekly prayer list and readings from the lectionary for the service lectors and intercessors.
o Email weekly prayer list to Daughters of the King and pastoral team.
o Prepare electronic notifications for wedding or funeral to the appropriate church teams to begin the process for the preparation of those events.
o Prepare and mail monthly parishioner birthday cards.
