Base pay range

$33.00/hr – $36.00/hr

Our client, a boutique private financial services firm in Boston, MA, is seeking a proactive and detail-oriented Executive Assistant / Office Manager to support a collaborative and easy-going team. This position will be Monday – Thursday, 9:00am – 4:00pm (No Fridays). This position will be temporary until July 3rd, with potential for extension. This position is covering maternity leave for an employee.

Compensation for this role is up to $36/hour, based on experience. Qualified candidates seeking a rewarding opportunity are encouraged to apply for immediate consideration.

Key Responsibilities:

Maintain the calendars and appointments of the Managing Partners, assist in booking and updating travel plans as requested.

Provide general administrative assistance, such as scheduling and prioritizing meetings.

Serve as the first point of contact for visitors, ensuring a welcoming atmosphere for clients, vendors, and guests.

Organize and schedule internal and external office events, including liaising with vendors, managing conference room bookings, coordinating catering orders, and assisting with printing documents.

Oversee team and visitor schedules and ensure smooth event execution.

Open and close the office, maintain the physical office space, and manage supplies, including ordering groceries, lunch orders, and office supplies on a monthly basis.

Manage office vendor relationships and building maintenance requests.

Handle incoming and outgoing office mail and coordinate with courier services.

Assist with processing monthly team expenses.

Prerequisites:

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).

Minimum of 4 years of Executive Assistant experience in a professional corporate environment.

Strong written and verbal communication skills for both internal and external interactions.

A collaborative team player with the ability to work independently and with a proactive mindset.

Critical thinking and sound judgment, paired with a positive, can-do attitude.
