Key activities

Executive Support:

Liaising with internal and external contacts on behalf of President and/or Senior Leadership team members to coordinate meetings, respond to any incoming correspondence and facilitate special projects as required.

Preparing correspondence (presentations, reports, etc.) for internal and external meetings.

Coordinating all travel arrangements.

Preparing expense report reconciliations.

Coordinating certificates of insurance.

Office Management:

Managing office planning.

Ordering office supplies.

Distributing mail and general voicemail message.

Preparing waybills and FDA documentation.

Coordinating company vehicule usage.

Administering company fob program.

Required training and experience

Bachelor’s Degree or Diploma in Business Administration and/or relevant business experience.

5-7 years of general office experience (executive support preferred).

Excels in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Skills sought

Excellent communication and organizational skills with ability to prioritize multiple projects while maintaining attention to detail.

Motivated, focused and accountable for results.
