Job Overview
We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our President and ensure the smooth operation of our current operations and future growth. This role requires a blend of administrative expertise, client communications, exceptional customer service skills, and a strong ability to manage multiple tasks efficiently. The ideal candidate will be adept in using various software applications and possess excellent communication skills. Ideal candidate will work into a full-time position as needed. Must have the ability to manage a highly fast paced entrepreneurial person and growth environment. i.e. Jerry Maguire.

Responsibilities

Provide comprehensive administrative support to executive, including managing schedules, appointments, and travel arrangements.
Serve as the first point of contact for clients, demonstrating outstanding customer service and phone etiquette.
Maintain organized filing systems and perform data entry tasks to ensure accurate record-keeping.
Prepare documents for signatures using DocuSign and assist in the preparation of reports and presentations.
Assist with clerical duties such as typing correspondence, memos, and other documents as needed.
Utilize Google Suite for document creation, collaboration, and communication with team members.
Support special projects as assigned by executives, ensuring timely completion of tasks.

Qualifications

Proven experience in an administrative role or similar position is preferred.
Construction, Architecture, Building Sciences experience is a must.
Strong proficiency in Google Suite applications (Docs, Sheets, Drive)
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Exceptional written and verbal communication skills with a focus on customer service.
Familiarity with clerical duties such as data entry and document management is essential.
Ability to work independently as well as part of a team while maintaining professionalism at all times.
A proactive approach to problem-solving with strong attention to detail.
