What You’ll Do:
As the Executive Assistant, you’ll serve as key administrative support to our Nursing Program Director, handling sensitive student and faculty communications, coordinating essential administrative functions, and maintaining compliance-related documentation. You’ll manage complex scheduling, organize program operations, support accreditation efforts, and ensure timely communication across the nursing department. Your work will be instrumental in supporting the success of students, faculty, and leadership alike.
Key Responsibilities:
Act as the primary administrative support to the Nursing Program Director and department leadership.
Maintain accurate, confidential records related to students, faculty, immunizations, clinicals, and accreditation.
Schedule and maintain the exam calendar, coordinate proctors, and prepare graduation checklists.
Support department events including new student orientations, flu shot clinics, pinning ceremonies, and wellness fairs.
Assist with faculty onboarding, collecting required documentation and ensuring a smooth start for new hires.
Participate in data collection for program reporting (e.g., NCLEX pass rates, alumni/employer surveys).
Take and distribute meeting minutes, and support digital file management for accreditation purposes.
Manage office and lab supply inventory, equipment service logs, and vendor coordination.

Requirements
Qualifications:
Associate degree or higher preferred; High School diploma required.
Minimum 3 years of experience in administrative support, ideally in healthcare or higher education.
Proficient with Google Workspace (Docs, Sheets, Drive) and electronic records management.
Organized, proactive, and emotionally mature, able to manage multiple priorities and sensitive issues calmly.
Proven ability to demonstrate critical thinking and sound judgment when handling sensitive information or complex situations.
Excellent interpersonal and communication skills across diverse populations.
Able to work flexible hours, including occasional evenings, for student events or academic support.
Demonstrates professionalism, discretion, and a strong sense of accountability.
