THE SIGNAL (About The Role)
Lumen Partners doesn't do "staffing." We do architecture. We build remote infrastructure for scaling companies—replacing traditional staffing with engineered global teams.
We are currently architecting the executive operations for a nationally licensed Third-Party Administrator in the US. We need a high-bandwidth Executive Assistant / Operations Coordinator to deploy directly alongside their CEO.
This is not a task-based VA role. The old outsourcing model is just noise. We are the signal. This is a central command deployment. You will act as the connective tissue between the CEO and the executive leadership team, ensuring that communication, deadlines, and operational priorities stay on track without micromanagement.
THE HABITAT (The Client & The Mission)
Our client is a nationally recognized, technology-driven Third-Party Administrator (TPA) providing end-to-end benefits management and HR platforms (including COBRA, FSA, HSA, HRA, and Premium Administration) for over 500 corporate and public sector clients across the United States.
Right now, the CEO is inundated with operational bottlenecks, state licensure tracking, and internal coordination. The executive team (specifically the COO/CFO) is currently absorbing EA-level tasks instead of driving high-level financial strategy.
Your mission: Step into the center of the organization, clear the noise, and build structured, predictable operations. You will be the operational force multiplier that frees up executive bandwidth and keeps leadership aligned.
THE ARCHITECTURE (Your Responsibilities)
- Central Command (Executive Support): Manage and optimize the CEO’s calendar, meetings, and priorities. Act as the ultimate gatekeeper and first point of contact for internal communication.
- Operational Bridge: Serve as the connective tissue between the CEO and the C-suite (COO, CFO, CRO, CTO). Ensure deadlines are tracked, follow up on deliverables, and proactively push projects forward.
- Legal & Compliance Shield (Light Support): Prepare and route templates (NDAs, agreements), assist the internal General Counsel with document organization, and monitor heavy DocuSign activity to aggressively filter out spam/fraud. (Note: This is support only; no contract drafting required unless requested by client stakeholders).
- Systems & Scheduling Management: Coordinate internal sessions and board meetings. Maintain airtight records of key dates, state renewals, and regulatory filings using Google Workspace and Zoho CRM.
THE OPERATOR (Candidate Profile)
- Relentless Self-Starter: You don't wait to be told what to do. You identify gaps, you organize the chaos, and you solve problems before they reach the CEO's desk. You operate with an entrepreneurial mindset.
- The Override (Critical Requirement): Strong familiarity with the US Benefits Administration space (COBRA, Section 125, HSA/FSA), the US Insurance Industry, or heavily regulated US financial/legal sectors is highly preferred. You need to understand the landscape of operating within a regulated US entity.
- High Bandwidth & Autonomous: You have professional, fluent English. You communicate with calm confidence, authority, and control. You don't sound like a junior assistant; you sound like a peer to the executive team.
- Battle-Tested Experience: 3+ years in high-level Executive Assistant, Operations Coordinator, or Paralegal-support roles, specifically directly supporting C-level executives.
- Systems Fluency: You are highly proficient in Google Workspace (Docs, Calendar, Meet), document workflows (DocuSign), and possess the technical aptitude to quickly navigate complex CRM environments (Zoho preferred).
