Executive Assistant (part time)Waterstone is seeking an organized and tech-savvy Assistant to provide personal and administrative support to Executives. This is a part-time position “in office” in Needham, MA.

Part-time role – ideally Monday to Friday 10-3:00. (We are open to other times/days for support)

Responsibilities:

Responsible for calendar management, including planning and scheduling internal/external meetings and teleconferences, and prioritizing meeting requests. Acting as a gatekeeper for the partner’s busy schedule, ensuring optimal time management.

Manage email inbox, anticipating connections and upcoming meetings, providing professional and timely correspondence.

Create systems and processes for efficiency including files, bills, contracts, taxes, monthly expense reports, and more.

Corporate events – organizes and manages events (reservations, gifts, vendors etc)

Organize, scan and coordinate tax documents for accountants

Run business and personal errands as requested.

Project manage workflows that are directly led by the executive by coordinating schedules, vendors, task lists, and documents.

Provide support with appropriate preparation before meetings and check-ins, providing reminders about content and action items, and tracking follow-up items.

Plan business travel for executives, including flights, accommodation, and ground transportation and occasional personal bookings. Registering for conferences (finding/using travel discounts when possible)

Manage the office technology:

Assess and troubleshoot technology issues when they arise and escalate issues to our outsourced IT Group, as needed.

Places misc office orders like snacks and office supplies.

Executive Assistant Qualifications and Skills:

Bachelor’s degree preferred; 3 years of administrative and office support

Ability to problem-solve independently. Anticipating needs and being action-oriented and resourceful in gray areas.

Professionalism and confidentiality of business matters

Ability to multi-task and prioritize effectively in a fast-paced, team-oriented environment

Must be organized and detail-oriented – love project management.

Strong verbal and written communication skills

Proficiency in Microsoft Office Suite – Tech-savvy, fixing, teaching, and addressing technology issues
