Position Overview
Reporting to Human Resources, the HR & Administrative Assistant plays a key role in ensuring the office operates smoothly and efficiently while meeting the business’s needs and expectations. This team member will oversee the timely completion of administrative tasks and provide critical support to the Human Resources department. Responsibilities include managing employee records, assisting with recruitment and onboarding, and handling various HR administrative duties.
Administrative Responsibilities:
Manage front desk and phone lines, and be the point person for maintenance, mailing/shipping, office supplies, and errands.
Maintain inventory of office supplies; order supplies as needed.
Coordinate with IT and Safety and Quality Manager to provide support to field personnel.
Manage coordination with vendors and suppliers to ensure all are in place for fully functional office.
Manage preparation and logistics for all meetings (in-person and virtual) with clients, guests, and visiting team members.
Manage all mail: collection, distribution, and shipments – via FedEx, UPS, or USPS.
Maintain office files.
Manage office community spaces for cleanliness and functionality: Reception area, breakroom, coffee bar, and conference rooms.
Manage Airbnb and bookings for field staff.
Perform other related duties as assigned.
HR Assistant Responsibilities:
Help coordinate onboarding for new hires, including paperwork, schedule meetings/training, and assist with Day 1 & 2 orientation.
Coordinate with the IT department on equipment setup for all new hires.
Book travel for new hires.
Assist with daily HR operations, including maintaining employee records and updating HR databases.
Assist with HR projects, events, and other administrative tasks as needed.
Support the recruitment process by scheduling interviews.
Coordinate lunch for new hires, and office staff/meetings.
Manage birthday email shout outs.
Always maintain confidentiality of employee information.
Perform other duties as assigned to support the HR team and company goals.
Qualifications
High school diploma or equivalent
1 year of administrative and clerical experience preferred.
Knowledge of office management procedures.
Ability to multitask and prioritize tasks in a fast-paced environment.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent time management skills with a proven ability to meet deadlines.
Proficient with Microsoft Office Suite; familiarity with HRIS is a plus.
Attention to detail and ability to maintain confidentiality.
